Pick one and watch it get built
A social media CRM is a contact database built from your social conversations. Every person who messages you or comments becomes a contact with their chat history, tags and details such as email or phone, so you can follow up, segment and hand leads to sales. It differs from a classic CRM by filling itself from DMs instead of forms.
This guide explains what a social media CRM should do, how it relates to tools like HubSpot or Salesforce, and how to set one up in five steps.
What is a social media CRM?
CRM stands for customer relationship management: one place that holds who your customers are and what happened with each of them. A classic CRM is built around email, calls and deals, and someone usually types the data in.
A social media CRM starts from where many small businesses actually talk to customers: Instagram DMs, Facebook Messenger, WhatsApp and Telegram. It records:
- Who. A contact for each person, with their name and profile on each channel.
- What was said. The conversation history, in one inbox.
- What you learned. Tags such as "asked about price" and fields such as email, phone or order number.
- What happens next. Follow-ups, assignments to a teammate, and messages to groups of contacts.
The direction of data flow is the difference. In a social media CRM, your automations and conversations fill the records while they answer questions.
Social CRM vs a classic CRM
| Social media CRM | Classic CRM (HubSpot, Salesforce) | |
|---|---|---|
| Main channel | DMs and comments | Email, calls, forms |
| How contacts arrive | From conversations, automatically | Imports, forms, manual entry |
| Identity | Social profile, sometimes an email or phone | Email first |
| Strength | Speed, context of the chat | Pipelines, deals, reporting |
| Typical user | Creators, shops, local businesses | Sales and marketing teams |
You often want both. The social side captures and qualifies people in the chat; the classic CRM runs the sales pipeline once you have an email address.
What should a social media CRM system do?
When comparing tools, check for these six things:
- Automatic contact creation from DMs, comments and story replies, without copying names into a sheet.
- A shared inbox where you can assign conversations, add notes and see the full history.
- Tags and custom fields that automations can set, such as tagging everyone who asked about shipping.
- Segments that filter contacts by tag, field or activity into lists you can reuse.
- Follow-ups that respect platform rules. Instagram and Messenger only let businesses message people inside a messaging window that usually lasts 24 hours after the person acts (Meta for Developers). A tool that ignores this sends messages the platform refuses.
- Export and integrations so the data is not trapped: CSV export, and a sync to the CRM your sales team already uses.
How to set up a social media CRM
These steps use SociaHive, but the order works with any tool.
- Connect your messaging channels. Connect the Instagram, Facebook, WhatsApp or Telegram accounts where customers write to you.
- Turn on an automation that starts conversations. A comment-to-DM flow or a keyword auto-reply answers people instantly and creates a contact for each of them.
- Ask for one detail in the chat. Add a step that asks for an email or phone number and saves the answer to the contact.
- Tag as you go. Let the flow add a tag for what the person asked about, such as "pricing" or "wholesale".
- Act on the list. Build a segment from those tags, then send a follow-up broadcast or sequence, or sync contacts with an email address to your main CRM.
Step 3 is where most of the value comes from. A contact with an email address can be reached outside the platform and matched in a classic CRM.

How SociaHive works as a social media CRM
SociaHive is a DM automation and scheduling tool, and its CRM features come from the conversations it handles. Here is what each part does.
Contacts. People who message or comment on your connected accounts become contacts, with their identity on each platform. You can import and export contacts as CSV.
Inbox. One inbox for your conversations on Instagram, Facebook Messenger, WhatsApp, Telegram and website chat, with assignment, tags, notes and AI suggested replies. You can take a conversation over from the automation and hand it back.
Tags and custom fields. Flows can add or remove tags and save collected answers. An email or phone answer is stored on the contact itself; other answers go into custom fields.
Segments. Filter contacts by tag, field or activity and save the filter as a segment.
Sequences and broadcasts. A sequence sends a series of follow-ups; a broadcast sends one message to a segment. On Instagram and Messenger, SociaHive checks each person's messaging window and skips anyone outside it, and anyone who opted out. For Instagram channels versus DM broadcasts, see the Instagram broadcast channel guide.
Integrations.
| Integration | What it does |
|---|---|
| HubSpot | Creates or updates HubSpot contacts for SociaHive contacts with an email address, on a regular sync |
| Salesforce | Creates or updates Salesforce contacts the same way |
| Google Sheets | Adds a row for each answer a flow collects |
| Zapier | Sends SociaHive events to thousands of other apps |
Plans. Custom fields, segments, sequences, broadcasts and integrations are part of the paid plans, starting with Creator, and the free trial includes them. Limits per plan are on the pricing page.
What it is not. SociaHive has no deal pipelines, quotes or sales forecasting. If you need those, keep your classic CRM and let SociaHive feed it contacts.
Is WhatsApp a CRM?
No. WhatsApp is a messaging app. The WhatsApp Business app has tools for organizing chats that help with a small number of conversations, but it is not a contact database you can segment, sync to other systems or report on. Businesses that handle many WhatsApp chats connect a tool that stores contacts and history. The WhatsApp automation CRM guide covers that setup.
What are some common CRM platforms?
Widely used general CRMs include HubSpot, Salesforce, Zoho CRM and Pipedrive. They are built around email, calls and deals. A social media CRM sits in front of them: it captures and qualifies people in DMs, then passes contacts with an email address on to the CRM your sales team uses.
Frequently Asked Questions
What does a social media CRM do?
It turns people who message or comment on your social accounts into contacts, keeps the conversation history, and lets you tag, segment and follow up with them. The best ones fill records automatically from the chat instead of relying on manual entry.
Do I need a social media CRM if I already use HubSpot?
Only if a lot of your customers start on social media. HubSpot is strong on email and deals, but DMs on Instagram or WhatsApp usually arrive with no email address. A social media CRM captures those people first, asks for an email in the chat, then syncs them to HubSpot.
Can a social media CRM send bulk messages on Instagram?
Only to people inside Instagram's messaging window, which for most actions lasts 24 hours after the person last interacted. Sending unsolicited bulk DMs breaks Instagram's rules. Use broadcasts for people who recently messaged you and channels or posts for everyone else.
Is there a free social media CRM?
SociaHive's free trial includes contacts, the inbox, tags, custom fields, segments and integrations, so you can try the full setup. After the trial, the CRM features beyond basic contacts are on paid plans.
How is a social media CRM different from a social media management tool?
A social media management tool mainly schedules and publishes posts. A social media CRM manages the people behind the conversations. SociaHive does both: it schedules posts and runs the DM automations that fill your contact list.
