Pick one and watch it get built

To manage multiple social media accounts, switch between them inside each app, put posting in one scheduler, and give teammates their own logins instead of your passwords. Apps' built-in switchers handle logging in; a scheduler handles publishing; roles handle access.

Most of the pain comes from three things: logging in and out, posting from the wrong account, and sharing passwords. The steps below deal with each one.

How to manage multiple social media accounts

Set it up once, then run it on a routine. This order works whether you have three accounts or thirty.

  1. List every account, its platform, its owner and where its login lives.
  2. Turn on two-factor authentication for each account.
  3. Add all of your accounts to each app's account switcher.
  4. Move your team onto roles and invitations, then stop sharing passwords.
  5. Put all posting into one calendar or scheduler.
  6. Give each account a label, a colour or a naming rule so you can tell them apart before you post.
  7. Block out a fixed weekly slot for replies and review.

The sections below cover the platform details behind steps 3, 4 and 5.

Switching between accounts inside each app

Instagram and X let you stay logged in to several accounts and switch without logging out. The routes differ by app.

X also says it has no way to merge accounts into one, so keep separate logins for separate accounts (X Help).

Using Meta Business Suite for Facebook and Instagram

Meta Business Suite lets you run a Facebook Page and its Instagram account from one place, with one inbox. Meta says you can schedule and publish posts, stories and reels, read and reply to messages and comments from your Page, Messenger, Instagram and WhatsApp Business account in one inbox, and see insights (Meta Business Help Center).

To use it, your business needs a business portfolio. That is the container that holds your Pages, Instagram accounts, ad accounts and the people with access to them.

This covers Meta's apps only. LinkedIn, X, TikTok, YouTube, Pinterest and the rest need their own tools, which is where a separate scheduler comes in.

Using one scheduler for every platform

A scheduler lets you write, queue and publish across platforms from one calendar, so you stop opening six apps to post. Pick one that supports the platforms you actually use and the content types you post, because every tool has gaps.

Check before you commit: does it publish Stories and Reels, or only feed posts? Does it support company Pages on LinkedIn? Can several people use it with different permissions? Ask what happens when a platform's connection expires, since you will need to reconnect it.

SociaHive's content scheduler covers Instagram feed posts, Facebook Pages, LinkedIn profiles, X, Threads, TikTok, YouTube, Bluesky and Pinterest from one calendar. It does not schedule Instagram Stories or Reels, so those still go through the native app or Meta Business Suite. For the full picture of tools and methods, see the content scheduling guide.

How to share access without sharing passwords

Give every person their own login and a role, and remove access when they leave. Sharing a password means you cannot see who did what, and you cannot remove one person without changing it for everyone. For tools that help a remote team share work without sharing passwords, see the best collaboration tools for remote teams.

On Facebook and Instagram, Meta's help explains how to invite people to your business portfolio and assign them only the assets and permissions they need (Meta Business Help Center). Meta notes that people are given basic access by default and recommends assigning only the access needed.

For an agency or freelancer, Meta lets you share assets with a partner's business portfolio by entering its ID, with full or partial access (Meta Business Help Center). You must turn on two-factor authentication for your portfolio first. Only the owner can share the asset onward, so the agency cannot hand your Page to someone else. If you resell another provider's service under your own brand, see how white label social media management works.

On LinkedIn, only people with the right Page admin role can post. LinkedIn lists super admin, content admin and analyst as the Page roles (LinkedIn Help).

A weekly routine for many accounts

Run the same short routine every week so no account goes quiet. Keep it fixed, not flexible.

  • Once a week, 60 to 90 minutes: batch-write and schedule the next week's posts for all accounts. Use a content calendar so gaps are visible.
  • Daily, 10 to 15 minutes per cluster of accounts: answer comments and messages in one sitting, from the shared inbox where you have one.
  • Once a week, 15 minutes: scan each account's recent posts to catch anything scheduled to the wrong account.

What goes wrong and how to fix it

The common failures are predictable, and most have a cheap fix.

  • You posted from the wrong account. Check the avatar and @handle before you hit post. Use distinct profile photos or labels so a wrong account is obvious.
  • A connection expired and posts failed. Reconnect the account in your scheduler, then check that the missed posts are rescheduled. Check the queue once a week.
  • A teammate left and still has access. Remove them from your business portfolio or Page roles the same day.
  • Notifications from every account flood your phone. Turn off notifications for accounts you do not monitor yourself.
  • Brand voice drifts between accounts. Keep one short voice note per account and link it from your calendar.

Frequently Asked Questions

Is Meta Business Suite free?

Yes. Meta says Meta Business Suite is free to use on desktop and in the mobile app. It needs a business portfolio, and it covers Facebook, Instagram, Threads and WhatsApp. It also holds an inbox, a content calendar and insights. Check Meta's page for the current feature list.

Can I be logged in to more than one X account at once?

Yes. X says you can add existing accounts on iOS, Android, desktop and mobile.x.com. On desktop, click your profile icon in the side menu, choose the more or plus icon, and select Add an existing account. Then switch by clicking your profile icon and the smaller profile icons beside it (X Help).

What can a LinkedIn Page analyst do?

An analyst can monitor the Page's performance through analytics and nothing more. LinkedIn says analysts only have access to the Analytics tab of a Page, and have limited access in third-party tools. That makes the role a safe fit for a client or manager who only needs to read results (LinkedIn Help).

Can I merge two X accounts into one?

No. X says it does not offer a way to merge multiple accounts into one or to move posts, following or followers from one account to another. If you run several accounts, add each one to the app and switch between them. Decide which account is the main one before you start posting, because history cannot be combined later (X Help).
